Job Purpose

The Communications and Knowledge Management Officer will support the sound

implementation of Knowledge Management and Communications activities, ensuring full coherence and alignment with PACJA various Platforms in implementing the communication strategy, and adapting it to prevailing circumstances while ensuring that it is mainstreamed within the Alliance Strategic Plan. Working in close collaboration with programme and Advocacy and the rest of Staff, the Associate will also provide technical advice and support to other staff in planning and developing relevant information and communications products, including input to all major departmental documents, including strategies, donor reports and other technical documents, to ensure they are well written and clearly communicating the messages. S/he will also support the project management activities,project concepts and resource mobilization tools, ensuring goal – oriented project design. Also Identify and implement public relations and provide support for advocacy, monitoring and evaluation.

Main Duties and Responsibilities

. Oversee the design and editorial content of the website and intranet, ensuring that content are regularly updated and promoted.

. Participate in resource mobilization activities by developing IEC materials and ensuring that the organisational websites remain relevant

. Provide support and training in communication for the staff working at various PACJA Platforms, during the annual staff meetings and staff retreats.

. Initiate and implement communication activities in PACJA yearly plan

. Link PACJA’s advocacy campaigns to other regional and international campaigns,and keep PACJA members, networks and partners informed on PACJA’s various activities.

. Draft press releases, statements, news summaries and ensure print and electronic media coverage for the events.

. Monitor international and regional media, and regularly update PACJA’s staff and membership of any media coverage relevant to their work.

. Proactively identify media opportunities and, in close liaison with PACJA partners , plan and implement media events including press releases, report launches and press conferences.

. Organize regular and ad-hoc briefings, public information events and press conferences.

. Develop strategies for partnerships and maintain databases of partners and supporters in the field of information and communication media;

. Assist in the implementation of PACJA seminars, workshops as well as internal CEC meetings and general assemblies and disseminate information on these activities

. Assist with other related tasks as required.

Specific Responsibilities

1 Support to formulation and implementation of internal and external communications strategies and support to strategic plan implementation

2.1 Provide support in the maintenance of PACJA website and intranet (and websites of the Alliance initiatives), compiling, writing, editing the reports coming from national platforms/projects/programmes, and regular updating the information.

2.0 Provide support in monitoring the local and International media, organising media engagement for advocacy campaigns, national platforms, reconnaissance visits

2 Reporting and Documentation

2.1 Assist in developing quarterly, semi-annual and annual reports

2.2 Develop and share field visit reports with relevant staff and partners

2.3 Upload key reports to relevant platforms

3 Planning

3.1 Assist during annual plan and budget (APB) process to develop a good quality APB for the Alliance programmes.

3.2 Assist in reviewing project plans during APB process

3.3 Ensure quality of data/ statistics in project plans

3.4 Upload relevant APB documents in the relevant platforms

4 Knowledge building and knowledge Sharing

4.1 Provide support in communications needs assessments for PACJA membership in projects, programmes and corporate change initiatives

4.2 Share learning from communication and knowledge management process with the programme staff and partners

4.3 Assist in compiling of success stories/case stories for use by programmes/projects in Reporting, PACJA website and sharing with members/newsletters etc.

4.4 Support staff and partners in improving learning and sharing mechanisms in their projects

4.5 Promote culture of two way learning in the organisation

5 Contribution to Effectiveness of the Programme

5.1 Work collaboratively with different projects for strengthening integration and cross-learning in programmes

5.2 Proactively volunteer for various team activities

5.3 Show an eagerness to take on any other tasks assigned by the line manager

PERSON SPECIFICATION

Essential Desirable Professional Qualification

Bachelor’s degree in Communication, media and Public relations, Journalism or related studies

. Master’s degree in social or natural sciences

Experience

. Minimum 5 years’ experience in journalism or communications and advocacy;

. Experience in writing to print and/or electronic media required; Strong understanding of the African media

. Wide linkage with key media personnel and civil society desirable;

. Proven editorial skills with a sound understanding of writing for the web and social media

. Knowledge of climate policy advocacy issues challenges and opportunities

. Excellent knowledge of capacity building theory and the application of methodology: good understanding of capacity assessment methodologies;

. Excellent ability to identify significant capacity building opportunities, ability to get capacity

. Proven IT Skills especially management of website and social media

. Computer literacy (MS Office Package) is also required;

. Experience in using knowledge sharing tools

. Fluency in written and spoken English and duty station language required;

. 2nd UN language desirable.

. Experience working in a network built, excellent ability to demonstrate capacities built (mastery of the tools and their application);

. Knowledge of contextual diversity of various areas of operation

. Ability to implement new systems that affect staff behavioural/ attitudinal change.

. Sensitivity to and responsiveness to the diversity of PACJA,

Respectful and helpful relations with all PACJA members and partners.

. Excellent communication skills Working experience in international \organization is desirable but not mandatory;

. Ability to build strong relationships with staff, membership and other stakeholders

. Ability to consistently approach work with energy and a positive, constructive attitude ;

. Demonstrated excellent oral and written communication skills in English

. Ability to demonstrate openness to change and ability to manage complexities.

. Ability to engage with the rest of staff, members and partners and provide policy advisory support services.;

. Ability to identify opportunities, conceptualize and develop project proposals as well as ability to market the project ideas to Donor partners;

. Capability to engage in team-based policy and programme dialogue, experience of leading workshops and being a resource person;

. Ability to lead formulation, implementation,monitoring and evaluation of development programmes and projects, mobilize resources: ability to oversee timely project implementation and to provide the necessary trouble shooting to keep project implementation on schedule ;

. Communication skills for presenting monitoring findings

. Fluency in Kiswahili in addition to English will be an added advantage
