Administration Assistant


MSF is a humanitarian medical organization providing emergency medical aid to populations in need. Somalia mission is setting up a new Project(s) in the Field (Somalia) with a coordination office
providing support from Nairobi, and is looking for:

Job Title : Administration Assistant

Location : Coordination Office, Nairobi.

Start date : Immediately

Length of contract : 12 months fixed term contract with possibility of extension based on
performance and operational need (Includes 3 month probationary period)

Work location : Nairobi Coordination Office

The selected candidate will be reporting to the HR & Administration Coordinator

Main Tasks include, but not limited to:

Execute administrative tasks according to line manager’s indications and MSF procedures, in order to
ensure legal compliance and keep a strict control over other resources.

. Ensure staff data is up to date and files/records are arranged properly as per the guideline.
. Manage staff Payroll and database in the HR system (Homere) and prepare all statutory
information, documents and monthly/annual reports for staff.
. Manage/arrange all expatriate staff administrative requirements including travel, perdiem,
accommodation and exit according to the expat policy.
. Manage travel for all staff within (taxi, other local travel) and outside the country, according to the
. Follow up on management/maintenance of all rental & service contracts.
. Make all administrative information available to the staff (posting, meetings, etc.)
. Supervise and manage the domestic staff and office cleaner(s), including daily workers.
. Manage relations and communication with contracted service providers (Landlords, internet,
security, garbage collectors)



. Essential Post- secondary education plus further training. A degree or
Diploma from a recognized institution in HR/Administration.

. Essential – two years of previous experience in similar jobs.
. Desirable – work experience in Somalia.
. Desirable – with MSF or other NGOs.

. Essential – English, Desirable – Somali/Local language

. Essential computer literacy (word, excel, internet)
. Knowledge of MSF procedures and policies

. Excellent knowledge of MSF standard tools: HOMERE

. Excellent communication skills.
