The Resolution Insurance brand is energetic and trendy. In pursuit of our ambitious growth plan, we are looking to fill the position below:


Reporting to the Chief Operating Officer, the Executive Assistant’s overall purpose is to collaboratively work to provide administrative and secretarial support in the administration and operation of
operational efficiency and development initiatives, projects, and activities that further the goals of Resolution Insurance Group and its strategic goals and objectives.

Key Responsibility Areas:

1. COO Administrative Function:
. Ensuring the office is well managed and running efficiently.
. Providing support of a confidential nature to the COO.
. Acting as a liaison between operations staff and the COO.
. Maintaining and organizing the COO’s calendar and prioritizing appointments.
. Ensuring the official entertainment expenses are claimed and approved for payment.
. Scheduling internal and external meeting and ensuring the COO is well prepared for the meeting by organizing documents, briefing papers, reports and presentations.
. Taking meetings minutes when required.
. Circulating the minutes the following day after the meeting.
. Compiling the actions from the minutes, keeping a log and following up with relevant parties on the same.
. Timely organization and circulation of Agendas and notices for all meetings.
. Assist the COO manage output, workflow and office deadlines.
2. Customer Service:
. Handling all internal and external customers/vendors who seek COO and provide assistance accordingly.
. Handling escalated issues or complaints and following through to finalization.
. Briefing the General Manager about a & b above and following up on the respective actions as assigned.
3. Travel Management for Group Staff:
. Coordinate itineraries’, visas, and transfers for group staff for official travel.
. Complete the Travel Authorization Form, get approval and request for travel allowances in good time (1 week before travel date).
. Booking of flights and accommodation and confirmation of the same after consultation with the traveller.
. Ensure all travel requests for all of the above are within the RIL travel policy. (Confirm that the rates are as per the policy and approved by COO/CEO)
4. Document Management:
. Maintaining a good filing system and easily retrieving information when required, on soft and hard copies.
. Reviewing and proof reading all documents that require sign off by the General Manager.
5. Project Management:
. Active involvement in the planning and management of Company initiatives and projects managed by the COO.

Qualifications and Experience:


. Bachelor’s degree in a business related field
. 2 years working experience with at least one (1) year serving a team.
. Proficient administrative experience in a busy office.
. Comprehensive knowledge of MS Office
. Excellent written and verbal communication skills


. Advanced Diploma in administration an added advantage
. Leadership skills
