The Finance and Administration Assistant will provide support across the above-mentioned projects depending on the needs.
Specifically, this will include:
Ensure payments are processed in a timely manner
Support generation of monthly financial report by preparing appropriate vouchers for payments and maintenance of daily cash & bankbooks
Under the supervision of the Finance Manager ensure payments are posted in QuickBooks Accounting Software
Ensure that all financial records are properly filed and on time with all the requisite supporting documentation both on share point and in the physical file
Management of petty cash for Nairobi and for day-to-day running of the programmes
Ensure timely remittance of statutory deductions to appropriate authorities
Liaise with service providers (internet, cleaning and Facility manager etc.) and ensure their bills are forwarded to Head of Finance & Administration for payment
Support maintenance of budget/cash forecast and reconciliation of accounts
Ensure tax returns are filed and paid in a timely manner. This includes withholding VAT, Withholding Taxes etc
Ensure prompt retirement of advances by staff and consultants
Adhere to all Coffey’s policies and procedures and uphold the company’s values
Perform any other duties as may be required
At least 2 years’ experience in a similar role
Bachelor’s degree in relevant field
Excellent written and spoken communication skills in Swahili and English
Very good numerical skills
Ideally experience working on donor programmes
