Job Title: Finance & Administration Assistant
Reports to: Finance & Administration Officer
Location: Kilimani, Nairobi, Kenya
Contract Type: Full time
Starting Date: July 2019
Duration: 6-month contract with possibility of extension
1) About IsraAID
IsraAID is an Israeli non-governmental development and humanitarian aid organization operating in 9 countries across the globe. IsraAID’s work in Kenya is focused mainly on refugee relief, protection, and development in Kakuma refugee camp and Kalobeyei settlement.
2) Job Purpose
To assist the IsraAID country office in financial management and office administration by facilitating financial transactions, generating transaction vouchers, maintaining accounting ledgers and cash books, program budgeting, financial reporting, managing office petty cash, processing payroll, general office administration/logistics, procurement, shipping, and filing.
3) Main Responsibilities
a) Financial Administration:
• Assist in Management and filing of bookkeeping and receipts.
• Timely preparation of monthly bank reconciliation, managing cashbooks.
• Cash flow and budget management.
• Maintaining files and documents in the office.
• Assist in Preparing program budgets.
• Managing petty cash for Nairobi office.
• Assist with staff travel and petty cash requirements.
b) Office Administration:
• Filing of both financial and program documents.
• Managing office inventory, and fixed asset registry.
• International volunteer coordination.
• International and internal shipping.
• Assist with the compilation of financial information to stakeholders
• Secure and accurate filing of staff records.
• Maintain verbal and written contact and communications with all the relevant stakeholders
• Assist with staff travel and petty cash requirements.
• Help organize specific meetings inside and outside of the office.
• Ensuring booking of Hotels, flights and Taxi for staff and international guests.
• Draft correspondences and other communications with the above-mentioned stakeholders.
c) Procurement
• Receiving quotes
• Assist in managing procurement procedures of supplies, equipment, etc.
• Ensure office equipment is serviced and maintained.
• Coordinate purchase of general staff amenities and stationery supplies.
d) Other Tasks
Any other duty as may be assigned from time to time by the Finance and Admin Officer. The main responsibilities are not meant to be an exhaustive list of tasks. The need for flexibility is required and the job holder is expected to carry out any other related duties that are within the employee’s skills and abilities whenever reasonably instructed.
4) Skills, Experience, and Requirements
• A Diploma in Accounting/Finance, administration or equivalent and at least a recognized level 2 accounting qualification e.g. CPA 1 etc.
• Experience in shipment and procurement.
• Excellent communication skills in English (both oral & written).
• IT skills – Excel, MS Word, accounting packages, QuickBooks.
• Kenyan nationals only.
