About DRC
The Danish Refugee Council (DRC) is a humanitarian, non-governmental and non-profit organization, founded in 1956, that works in more than 35 countries around the world. DRC has been operating in Kenya since 2005, where we assist refugees and displacement-affected communities in Dadaab, Kakuma, Kalobeyei and Nairobi through protection and livelihoods activities to enhance their self-reliance and expand opportunities for a dignified life. DRC provides both humanitarian assistance and longer-term development support to respond to the needs of communities affected by acute crisis as well as those in protracted displacement situations.

Overall purpose of the role:
The Supply Chain Assistant is responsible for processing procurement requests for goods and services in the DRC Kakuma field office. The holder of the position reports directly to the Area Manager and provides day-to-day administrative supervision to the units’ Drivers.

Responsibilities: 

  • Assist in the management and planning of office space, including future needs, planning availability, and on-time preparation to meet related staff demands
  • Keep up to date records of all DRC assets with information on allocation, asset tags, and condition of assets
  • Implement procurement process as per DRC guidelines and policies
  • Ensure effective/efficient vehicle use at minimal risks/costs to DRC
  • Ensure that Program and Office items are available when they are needed (based on grants and associated procurement plans) and keep track of existing inventory and its use. Assist in computerized stock management 
  • Maintain a safe reception of all supplies in the organization warehouse/stores
  • Supervise day to day activities in the store and keep record of all goods as well as advise when certain supplies are running out to avoid shortage (restocking as per program needs)
  • Quality control of goods in and/or goods out including maintenance of stable conditions or temperature e.g. for perishable goods
  • Take delivery of and control goods brought to the store (quantities, quality, and guarantees)
  • Maintain high integrity standards
  • Direct supervision of all DRC drivers and Vehicles; ensure drivers are available during working hours
  • Assist in tagging of assets and equipment before dispatching from warehouse in line with DRC asset and equipment management handbook. 
  • Perform refueling of vehicles, and ensure fuel consumption tracking system and obtain minimum documentation such as logbook, fuel request approval form and invoice to settle payment in time.
  • Other relevant tasks to the position as assigned by line manager

Experience and technical competencies: 

  • Past experience in logistics and/or store management
  • Good command of the Microsoft Office package (Experience working with Administrative Management Software would be an added advantage)
  • Experience in Fleet management
  • Minimum 3 years of experience in accounting and/or logistics, with demonstrated increased responsibility preferably with an INGO.
  • Proven ability to prioritize tasks and meet deadlines
  • Be a team player
  • Excellent interpersonal and communication skills.
  • Good command in both spoken and written English
  • Commitment to learning and implementing organizational policies and procedures.

Education:

  • Degree/ Diploma in purchasing and supply management, management, finance or relevant fields
  • Professional qualifications such as CPA, ACCA, CIMA, MBA, Post-Graduate Certificate/Diploma in Humanitarian Logistics and/or Procurement is an added advantage.
  • Training and experience in using Enterprise Resource planning (ERP) systems
  • IT Training in advanced MS Office (Word, Excel, Access)
  • Holder of a valid Certificate of Good Conduct

Conditions:  
Contract: 6 months contract with possibility of extension, subject to funding and performance. Salary and conditions will be in accordance with the Danish Refugee Council terms of employment for National staff.
Availability: July 2021
Duty station: Kakuma (Position does not qualify for accommodation)

Internal stakeholders: DRC Support team, Programme Teams, Kakuma SMT and Country Office SMT
External stakeholders: Local Administration, Local Community, Suppliers/Vendors, contractors and other service providers, Other NGOs/ INGOs, Implementing partners.
