Job Purpose:

Reporting to the Manager – Logistics, the ideal candidate will be responsible for the administration and supervision of clearing and forwarding activities while ensuring that all company materials i.e. catering stores and spares are availed and delivered on time at optimum cost to maintenance areas to meet operational requirements of Kenya Airways and Third-party operators. He/she will also be tasked with the responsibility of ensuring full compliance with KCAA requirements, Kenya Revenue Authority under East African Customs Management Act and relevant civil aviation regulations and Laws of Kenya. This involves handling of both Air freight at the JKIA and Sea freight at Inland Container Depot (ICD) for both imports and exports.

Principle Accountabilities:

Documentation

  • Monitor loan and third-party business (MRO) as per the contract terms on tools and equipment as well as ensuring accuracy of all the tools and equipment are 100 % captured in the ERP system.
  • Ensure all relevant documentation and pre-alerts are provided by the user desks to ensure smooth and fast clearance of shipments.
  • Ensure for all shipment types the process for clearing is articulated and well understood by the team.
  • Provide day to day support to the AOG team to ensure to meet 4 hours delivery KPI.
  • Keep contacts for all authorities who make decisions at the airport for customs to facilitate quick intervention to support the logistics team.
  • Ensure all documentation and accounts for the SHEDS used are up to date and proper credit facility provided to Kenya Airways.
  • For import Sea freight shipments ensure process fully documented and understood by the team.
  • Ensure on a daily basis that the logistics team keep the department tracker fully and correctly updated.
  • Ensure all reports are fully updated and reflect 100% correct information in regard to AOG, import and status reports.

Cost

  • Be accountable, obtain and hold current Kenya Airways Customs Agents license and issues related to KQ clearing at customs.
  • Ensure timely reconciliation and execution of Bonds with KRA.
  • Follow up implementation processes and resolve all queries to ensure uninterrupted service from customs and other agencies.
  • Follow up renewal of all licenses, permits, subscriptions, gazette notices, memberships per industry standards.
  • Represent the company on professional bodies /committees and in industry forums to ensure compliance with industry best practices and standards and abreast of all new regulations.

Efficiency

  • Ensure all payment requests are submitted in a timely manner.
  • Closely monitor processes to ensure no additional costs are incurred unnecessarily.
  • Manage bank account by closely liaising with Finance on funds availability, account usage and ensure that daily cheque payments are done in a timely manner.

Customer Service/Compliance

  • Arrange for payment and reconciliations of various fees to Customs, KAA, Consolidators and transit sheds to ensure smooth flow of supplies to support our business.
  • Develop and maintain effective relationships with customers, regulatory bodies and suppliers that facilitate timely delivery of spares and catering for customer satisfaction.
  • Represent the company in all logistics professional bodies to ensure all unnecessary trade barriers are removed.
  • Ensure all users receive reports on time and that they are satisfied with the information provided.

Staff Supervision

  • Ensure adherence to occupational health & safety regulations and practices for all staff.
  • Supervise the team to ensure all KPI’s are met and even exceeded.
  • Supervise, develop and coach staff so as to promote and enhance teamwork. Ensure improved performance and productivity is enhanced.
  • Identify training needs for the team and initiate job training for their personal growth and development and improve morale.

Safety

  • Ensure adherence to occupational health & safety regulations and practices for all staff.

Reports

  • Prepare reports for incoming and outgoing consignments for management decision and planning of service cargo.
  • Compilation of various shipment reports for management review.

Knowledge, Skills and experience:

  • Bachelor’s degree in business-related field or its equivalent from a recognized institution.
  • Diploma in Purchasing and Supplies Management or equivalent from recognized institution.
  • Must possess East African Customs Clearing & Forwarding Practicing Certificate.
  • Minimum of 5 years’ experience in logistics, 3 of which must be in a supervisory level.
  • Demonstrable experience in clearing and forwarding.
  • Knowledge of aircraft part airworthiness requirements and dangerous Goods Handling.
  • Ability to interpret aircraft materials documents (IPCs, CMMs).
  • Superior team leadership, team working and co-operation skills with the ability to influence positively and engage direct and indirect reports and peers.
  • Excellent interpersonal, analytical and communications skills as well as excellent supervisory and problem solving skills.
  • Ability to handle pressure and difficult situations with resilience, calmly and effectively.
  • Must be a person of unquestionable integrity.
