Description

Equity Group Foundation (EGF) is a corporate foundation of Equity Group Holdings Plc. It was created in 2008 to undertake the social investment work of the bank. It focuses on six critical thematic areas; Agriculture, Education & Leadership Development, Energy & Environment, Entrepreneurship, Financial Education & Inclusion, and Health.
In line with enhancing career progression of staff, we seek to recruit well qualified and experienced candidate to fill the following position within Equity Group Foundation.

POSITION: ADMINISTRATIVE ASSISTANT

Job Purpose

The holder will be required to provide high level administrative, operational and clerical support to the Enterprise Development and Financial Inclusion Pillar under the supervision of the General Manager- Enterprise Development and Financial Inclusion.

Key Duties and Responsibilities

Events Management and Coordination

  • Provide general administrative support during pillar meeting, workshops and trainings.
  • Responsible for procuring of meeting venues, organizing for meals, stationeries, accommodation bookings, vendor contracts, transport and other logistical components of main pillar events
  • Coordinating and working with vendors/suppliers to ensure they provide proper services as required by the pillar.
  • Coordinating guest lists, food services arrangement, menu planning, decorating table set-ups.

Information Management

  • Ensuring pillar purchase requisitions for all goods and services are well documented and in line with the group policies
  • Work closely with EGF finances department to ensure that all invoices are correct and the service providers are paid within one month from date of an invoice.
  • Ensure suppliers creation in the ERP system to facilitate payments
  • Provide timely, accurate information and advice to the management and operational staff on all aspects of the projects.

General Administrative Duties

  • Handling all the correspondences for the Enterprise Development and Financial Inclusion pillar.
  • Responding to queries from walk in visitors about the Enterprise Development and Financial Inclusion pillar.
  • Organizing transport for head office staff going for field visits, meetings both locally and international.
  • Schedule meeting and take minutes for the pillar.
  • Stationary control for the pillar.
  • Maintain an assets register for the pillar
  • Handle all the dispatches for the pillar
  • Handle new staff onboarding, work station allocation, set up on emails and systems in conjunction with HR and IT departments.

Qualifications

Qualification & Experience

  • Bachelor’s degree from a recognized university
  • Ability to prioritize and take initiative.
  • A team player with excellent communication and interpersonal skills
  • Mature and details oriented
  • Sound knowledge of policy and procedure within Equity group.
  • Demonstrated organizational skills with the ability to use own initiative and work with minimum supervision in a team environment.
  • Computer literate and proficient in Microsoft applications practically Excel, Word, Outlook and PowerPoint.
