Position: Human Resources Assistant

Employment Terms: Six (6) months Fixed Term Contract

We currently have an exciting career opportunity for Human Resources Assistant within Jubilee Health Insurance Limited. The position holder will report to the Human Resource Business Partner and will be based at Head Office in Nairobi.

Role Purpose

The role holder will be responsible for providing effective and efficient Human Resource Operational support to the HR Business Partners whilst delivering timely administration of Human Resource service delivery to staff throughout the employee life cycle. This role also supports critical HR processes such as payroll, employee welfare, recruitment and any other deemed appropriate. From time to time, the role holder will also provide cover for the HR Officer Recruitment, L&D and ER when necessary.

Main Responsibilities

Recruitment support:

Prepare all offer letters for both permanent and contract staff
Complete reference checks for permanent hires before the end of the probation period.

Reward Management:

Ensure timely administration of relevant employee benefits as they fall due
Update Medical membership scheme beneficiaries and new staff members and coordinate distribution of medical cards for all staff

Timely and accurate updating of the monthly Payroll inputs file by the prescribed deadline

Support the HRBPs with the post annual reward cycle queries.


Accurate generation of all documents required across the entire employee life cycle; offers, introduction letters to banks, embassies, schools etc.; confirmation; resignation acceptance; disciplinary show cause, invitation to DC hearings, warnings, dismissal.
Prepare letters/forms to National Industrial Training Authority [NITA] for training reimbursements and payment of monthly NITA training levy
Ensure maintenance of accurate org charts for all Business Units and liaising with the respective HRBPs to ensure the data is up to date.

Maintain accurate trackers for all entities to facilitate Group reporting, probation, disciplinary, PIPs.

Provide timely and accurate response to all employee queries.

Coordinate on all logistics


Maintenance of accurate and up to date employee data on the HRMIS to facilitate accurate reporting of People data and analytics.
Extraction of various reports e.g., headcount, demographics to facilitate monthly and adhoc HR reporting.

Create new employees on the HRMIS and ensure mandatory data is recorded.

2. Ability to handle detailed tasks and work with varying types of data.

3. Ability to maintain confidentiality.

4. A team player willing to learn, apply and improve Quality Assurance best practices consistently.


1. An undergraduate degree in Social Sciences from a recognised institution
2. Higher Diploma in Human Resource Management or CHRP is desirable

Relevant Experience

At least 1 years’ experience in a Human Resource
