(a) Job Purpose

Responsible for ensuring security and safety of all records and documents including appropriately filing,
maintaining and updating records.

The officer will report to the Manager Human Resource and Administration and will be responsible for:

i. Implementing records management programs in line with the Public Archives and Documentation Service Act;
ii. Ensuring mail and documents received are appropriately filed and marked to action officers;

iii. Opening files and file indexing;

iv. Ensuring security of information/files/documents in the secretariat and
registry archives;
v. Up-dating and maintaining up-to-date file movement records;

vi. Participating in disposing of records in line with the Board’s records retention/disposal schedule; and

vii. Undertaking classification and indexing of records, media conversion,

(b) Person Specifications

For appointment to this grade, a candidate must:-

i. Have a minimum of four (4) years work experience in a relevant field;
ii. Have Diploma in Information Science Management, Records Management or equivalent
qualification from a recognized institution;

iii. Be proficient in computer application;

iv. Have shown merit and ability as reflected in work performance and results; and

v. Meet the requirements of Chapter Six of the Constitution


In addition to the qualifications set above, shortlisted candidates will be required to provide copies of clearance certificates/letters of good standing from the following;

1. Ethics and Anti-Corruption Commission (EACC).
2. Criminal Investigation Department (CID).

3. Kenya Revenue Authority (KRA).

4. Higher Education Loans Board (HELB).

5. Credit Bureau Reference.


An attractive remunerative package, commensurate to qualifications, experience and responsibilities and in line with government guidelines will be offered to the successful applicant. The appointment is on a permanent and pensionable terms.
