 Primary Purpose:   

This position is responsible for supporting HR System Change unit run the day-to-day implementation of the organization HRIS system and system change initiatives. This position ensures CWS Africa’s HR system change priorities and targets are met. This position serves as an overall support to the HR Officer Change Systems and HR Change System Manager and may assist in any Human Resources general functions.

Essential Duties: 

  • Support the HR Manager, HR Officer systems change in providing HRIS support, troubleshooting, and guidance to HR employees.
  • Supports in maintaining the integrity of the system, security, and user access arrangements
  • Support implementation of change strategies associated with the Human Resources Management System (HRMIS) applications
  • Support implementing change initiatives related to business processes and technologies
  • Provides all necessary supporting documentation for the change (i.e. install, test, and remediation plans).
  • Support HR officer in developing short and long-term goals, KPIs, and objectives, and develop and execute against annual operational plan
  • Ensure that process and systems development maintain and enhances the accuracy of HR management information.
  • Provides all necessary supporting documentation for the change (i.e. install, test, and remediation plans).
  • Work with HR Officer to ensure staff data for CWS Africa staff) is up to date when there have been staff changes (new hires, promotions, deletions, etc. and save the same on the file server by end of every month
  • Ensure timely and accurate entry of employee data regarding initial hire, transfers, promotion and terminations, on to the established Human Resource Information Systems (HRIS) and ensure the same is captured in the payroll system.  
  • Provide client support and assistance through the development of communication materials, including developing standard system operating procedures and documentation and/or to deliver system training, workshops, or presentations
  • Perform other duties that may be assigned to ensure effective administration of CWS Africa Human Resources change systems to meet the program’s objectives and maintain high professional standards. 

 Qualifications:   

Experience:  

  • Three (3) years’ work experience required
  • One (1) year experience in a busy HR office is required. 
  • Previous experience working with an International NGO strongly desired. 
  • Previous supervisory experience preferred.
  • Must be a leader who can influence stakeholders in written and oral communications

Skills:  

  • Strong computer skills, in particular Microsoft Excel, Word, Outlook and Access 
  • Excellent English communication skills, both oral and written 
  • Excellent organizational and time management skills 
  • Excellent understanding of confidentiality 
  • Strong interpersonal skills 
  • Strong analytical skills with the ability to understand, process, and document information 

Education & Certifications:  

  • High school diploma is required. Higher Diploma in Human Resource is strongly preferred. 
  • A member of Human Resource Management association or related preferred. 

Abilities: 

  • Manage large and diverse workload under pressure with competing priorities.
  • Maintain the integrity of official records.  
  • Analyse and solve complex problems and make sound decisions.  
  • Work with minimal supervision
  • Maintain a high-performance standard with attention to detail;  
  • Work independently and contribute to overall operations of RSC Africa;  
  • Actively participate in the implementation of the U.S. Refugee Admissions Program (USRAP).

Special Requirements:  

  • COVID Vaccination is strongly recommended for all successful candidates 
  • The candidate should be of good health, willing and able to travel extensively in often difficult conditions and have a high degree of flexibility. Must have proof of Yellow Fever vaccination before traveling for RSC Africa/Remove if not applicable. 
  • This position is based in Nairobi, Kenya 
  • This position always requires use of laptops, competence in Microsoft office packages is required. 
  • This position may require travel in sub-Saharan Africa on short notice and under sometimes difficult conditions to meet demands of a dynamic operational program 
  • Background check which includes references, and an educational criminal check is required before the start of employment for international applicants. 
  • A valid passport and the ability to maintain a valid passport throughout the entire appointment is required, which includes having enough passport pages for travel.  
  • Physical: This position requires bending, squatting, crawling, climbing, kneeling, sitting, standing, walking, pushing/pulling, handling objects (manual dexterity), reaching above shoulder level, using fine finger movements, and lifting/carrying heavy loads. 
  • Environmental: Incumbents in this position will be exposed to excessive noise, marked changes in temperature and/or humidity, dust and infectious diseases, harsh weather climates, long work hours, bumpy roads, extended travel, excessive sun exposure, and non-ventilated spaces. 
  • All employees should be prepared to work from the CWS office within their location of hire. Remote work arrangements may vary depending on location and the governing rulings regarding the COVID-19 pandemic
