You are responsible for organising efficiently and processing correctly the flow of incoming and outgoing documents (paper and electronic): letters, faxes, claims, payment letters, etc.
Build and sustain cordial relationships with key officials in Government departments involved with the execution of immigration formalities, duty-free and tax exemption privileges according to the Host Country Agreement between UNDP and the Government of Kenya.
Develop and maintain effective filing, archiving and record keeping systems, both paper and electronic.
Support systematic filing of all hard and soft documents allowing easy retrieval of files and documents, ensuring they are secure and accessible.
Welcome visitors pleasantly, record their details in the signing book and escort them to the relevant person
Assisting with tasks such as printing, making copies, proof reading, compiling reports and data, expense reimbursement reports, etc.
The Administration Assistant will report directly to the Senior Manager, Operations and HR and will be responsible for general office administration services.
