CHS Institute Ltd. is currently sourcing for a high calibre, self-motivated and dynamic individual to fill the position of a Monitoring and Evaluation Assistant, Key Population program to be based in Machakos.

Overall Job Function

Reporting to the Monitoring and Evaluation Officer, the Monitoring and Evaluation Assistant will be required to ensure accurate and complete documentation of registers, data quality audit, regular reporting, and collection of monthly and quarterly data reports at the Key Population (KP) Drop in Centres (DiCEs) level.

Key responsibilities

  • Support DiCEs to manage, maintain and organise clients’ medical records
  • Ensure a well streamlined appointment management system
  • Mentor other DiCE healthcare care workers on documentation, filling of the clients’ cards and registers, reporting and basic data analysis
  • Prepare KP reports and process through MOH, KHIS, CHS reporting system
  • Assist in weekly, monthly and quarterly data collection as per specified KP reporting indicator requirements
  • Conduct data quality audit using specific data audit tools; Paper based DQA, EMR DQAs, and data variation analysis tracking logs
  • Support MOH reporting system (KHIS) through quality audit of KP reports in respective DiCEs by comparing recorded reports with physical reports and flagging any discrepancies
  • Effectively communicate to KP program supporting team on matters relating to M&E needs and reporting tools requirements
  • Report all M&E activities carried out in the DiCEs and generate list of action items that require program interventions and support
  • Ensure M&E Standard Operating Procedures (SOPs) are accessible and well maintained
  • Support and mentor peer education program data collection and monitoring
  • Maintain confidentiality of all client records
  • Ensure monthly updates and documentation of progress wall charts on various quality improvement run charts

 Qualifications and Requirements

  • Diploma in Health Records and Information, a bachelor’s degree in health records information or related field is an added advantage
  • Training in Monitoring and evaluation is an added advantage
  • At least 2 years’ experience in health record management and data processing
  • Computer literacy in the use of MS Windows, Word, Excel, Access & PowerPoint
  • Excellent interpersonal and communication skills
  • Ability to work with minimal supervision.
