Supply Chain Coordinator

DFG Africa is a leading fresh flower export company, located at JKIA in Nairobi, Kenya. We are a logistics Centre for DFG, consolidating flowers from local flower growers across Kenya and shipping them across the globe. DFG Africa provides flower sourcing support from end to end. Come join our energetic vibrant team as an Supply Chain Coordinator within Dutch Flower Group Kenya Limited based in Nairobi.
The position reports to the Team Leader – Supply Chain and will perform the following amongst other responsibilities:
Overall purpose of the position
The job purpose is to ensure efficient and timely flow of orders from suppliers to customers, order fulfilment, Logistics coordination and supplier relations all while managing costs, timely delivery to the customers and ensuring quality.
Key Responsibilities and accountabilities
- Sourcing of flowers as per the agreed prices.
- Follow up on confirmations and sourcing of short falls.
- Timely delivery from suppliers.
- Oversee accurate and complete preparation of all shipping documents
- Flight bookings as per the order requirement by the client.
- Coordinate QC checks of the shipments and make approvals where necessary.
- Order trucking update as per the orders received and confirmations.
- Check and verify all invoices before uploading and consolidation.
- Manage enquiries from markets and suppliers.
- Handle all claims from customers and suppliers.
- Manage Volumetric weights 3% and below.
- Manage actual weights and Airflo flight weight charges plus dead flights.
- Eliminate and reduce losses by reducing errors in ordering and shipping.
- Nil difference on actual weights vs Airflo flight weight charges.
- Nil Revision of consolidation due to errors
- Timely payment of suppliers in 30 days of invoicing.
- Monthly update on supplier statements to solve issues and payments.
- Follow up on collection of all rejects back to the farm.
- Complete weekly figures and all market on the weeks assigned.
Educational background / Work experience
- Holder of a Degree /diploma in business/ floriculture or related field.
- At least 2 years of hands-on experience in sales and marketing and have thorough product knowledge (flowers).
- Knowledge and exposure on Export regulations – added advantage.
Skills & Competencies
- Ability to work independently in a fast-paced, constantly changing environment.
- Extremely self-motivated, proactive, confident, outgoing, creative, disciplined with attention to detail, highly honest and a person of high integrity.
- Possess strong interpersonal, communication and negotiation skills as well as exemplary organizational and time management skills.
Language Skills
- Experience communicating in diverse cultural or work environments preferred.
- Fluent in both written and spoken English and Kiswahili.
- Must be comfortable explaining complex technical & procedural requirements in straightforward language.
Computer Literacy
- Good knowledge of Microsoft® Office Software (Excel®, Word, PowerPoint®, Outlook and others)
